Admissions, from first enquiry to admitted student

Admission season runs on registers, WhatsApp groups and a spreadsheet nobody else can read. This week EDII gets a whole new Admissions section: an application form you arrange yourself, a board that shows every child's stage at a glance, documents and fees on the same screen, merit lists, and an Admit button that turns an application into a student in one step. Families apply from your website or the EDII parent app — and find your school on a map.

  • A new Admissions section
  • Apply from the parent app
  • 17 updates

Admissions is the one season where a school is judged by strangers. Every enquiry is a family deciding whether to trust you, and most schools run the whole thing on a register, a WhatsApp group and one person's memory — then spend February typing the survivors into the student records by hand. This is the biggest single addition to EDII since Transport: the entire season in one place, ending with a button that makes the admitted child a student without anyone retyping a thing.

A new Admissions section, beside the one you already use

  • Set the season up once. In Settings, switch online admission on or off, set the dates it runs, and choose where families may apply — at the office, on your school's admission web page, in the EDII parent app — and whether they pay the form fee online. Per class: seats, form fee, admission fee, an age rule and the documents families must upload. Settings can be copied from an earlier season, and online admission stays off until you switch it on.
  • Arrange the application form yourself. Reorder its sections, show or hide fields, mark them required, rename them, and add your own questions. You also set how application and receipt numbers look, the merit criteria, which staff are told about new applications, and the consent text.
  • Take an enquiry in ten seconds, or a full application. New Applicant handles a walk-in, a phone call or a visitor, right through to a complete application on your own form. If the child may already have an application you are shown the matches and asked for a reason before a second one is saved. A former student's details fill in from their Aadhaar, enrollment number, student ID, Samagra ID or PEN.
  • A board where every child's stage is obvious. The Pipeline shows one column per stage — Enquiry, Draft, Applied, Under review, Offered, Waitlisted, Admitted, Not selected, Withdrawn — and you drag a card to move it, or switch to a table with filters, search and sorting. Select up to 200 applications to assign them to a colleague, move them, ask for documents or message them in one go, and save the filters you use every day.
  • Everything about one child on one page. Full details, documents (upload, view, mark verified, or ask the family to upload again), fees and receipts (record cash, UPI or cheque and print the receipt), the full history, messages sent, notes and follow-up reminders. Offer a seat, waitlist, mark not selected or withdraw from the buttons at the top; schedule an interview or test and record the result; print the form on A4.
  • Admit turns an application into a student, in one step. Once a seat is offered, choose the section, check the student ID and confirm — the student is created with the details from the application, and you get a link straight to their new profile. Nothing is retyped. Details that have no place in a student record stay on the application.
  • Know where the season stands. The Dashboard shows applications by stage, by class (seats against applications, offers and admissions) and by source, applications per day, form and admission fees collected, and the follow-ups due today. Reports filter by date, stage, class and source, let you choose the columns, and download to Excel or print on A4.
  • Merit lists, and who gets to see what. Rank each class's applicants on the points your criteria give, and publish the list for families. Staff with Admission access see the whole section; staff with only Lead access see the Pipeline and New Applicant and work with enquiries alone.
  • Your existing Admission menu has not changed. The new section sits beside it, marked NEW, and admission money is kept apart from your school's fee collection, day book and ledger. One change to the old screen: the Entrance Form no longer fills in a blood group by itself — it starts empty and must be chosen.

How a family finds you, and applies

  • Put your school on the map. Under Admissions → Settings → Online admission → School location, paste a Google Maps link or the coordinates, check the pin and save. Families looking for a school in the EDII parent app then see yours as a pin and can get directions. If the location is already in your Website settings or School Information, use it with one click — and schools without one are still listed.
  • Admissions has its own tab in the parent app. The first screen now offers Sign in and Admissions. A family can browse the schools taking admissions without signing in at all, and is asked for a WhatsApp code only when they tap Apply. Switch from List to Map to see schools as pins, tap one to apply or get directions, and use the location button to see schools near you.
  • Apply, pay and follow it through from the phone. A family fills the form, uploads documents, pays the form fee and follows every step to admission, with applications in progress shown on their Home screen and a Track your application link for anyone returning. If the child already studies at an EDII school, the parent details fill in from the school's own record.

Sharpened within days of landing

  • It opens on the right season. Admissions opens on the session you last worked in on that computer, otherwise the one online admission is switched on for, otherwise next year. The Settings switch now names the session it applies to, and warns you when that session is the current year.
  • The application page stops getting in your way. Saving checks only what you changed, so an old value carried over from the previous admission screens no longer blocks you. Enquiries and drafts save with details still missing, and changing the stage asks you to save first. If a family pays the same fee online twice, the fee card shows the second payment and what to refund. If a student was created but the application was never marked admitted, Mark as admitted finishes it without creating a second student.
  • The pipeline behaves the way a long list should. Filter by Not assigned; classes sort in your school's order (1, 2 … 10, not 1, 10, 2); selections survive a refresh; moving a batch to Offered warns you when a class now has more offers than seats; and you are told when a card moves into a stage your filter is hiding.
  • Guard rails where they matter. Merit points cannot be changed while a class's list is published — unpublish first. Blank scores and merit points sort last in Reports. With walk-ins switched off, staff can no longer mark an enquiry as applied; with the admission website switched off, families can no longer submit or pay, including on a form they started earlier.
  • Messages reach the families your own staff entered. Seat offered, waitlisted, documents requested and the rest now go out to applications your staff typed in — previously WhatsApp only reached numbers a family had confirmed with a code online. New switches cover Admission confirmed and Fee received. And you can now admit into next year before that session has been started: the admit window offers to copy classes and sections from the current one.

Elsewhere: the driver app, and dating a receipt

  • The EDII Transport driver app is on both stores — send it to your drivers from EDII. It is your school's own drivers who need it, so they get it from a link rather than by searching. Transport → Live Tracking → Drivers now has a Driver app bar that opens the Android and iPhone pages, Copy Links for a ready-made message, and Share on WhatsApp for a contact or a drivers' group. Each driver's row has a send button that opens WhatsApp to that driver with the links, the number to sign in with, and where their sign-in code will come from. The links are in section 12 of the Transport Manual too.
  • Decide whether a receipt may be dated after today. In Preferences → Finance → Fee Collection Settings, switch on Allow Future Payment Date and set how many days ahead (1 to 30) a cashier may date a payment. Left off, the date can only be today or earlier — so a counter machine whose clock is running fast cannot quietly put tomorrow's date on a receipt.

The season ends with a button, not a week of typing.

Most admission software stops at collecting the form. The work a school actually dreads comes after: reading the register, chasing documents, ranking the list, and then typing every admitted child into the student records a second time. Admissions carries the whole season and ends it with Admit — section, student ID, confirm, done. More next week.
